Style Tips for Informative Reports

Style Tip 1: Be Specific and Clear

  • A progress report is intended to inform about the specifics of a particular project
  • It should be:
    • Easy to understand
    • Accurate
    • Include clear detail so the reader can receive all important information required

Provide Specific/Clear Detail

Vague Example:

  • "Put enough air in your tires."
  • Problem: How much air is "enough"? → พอดีกี่โมง?

Specific/Clear Example:

  • "Fill your tires to 32 pounds per square inch."

Provide Enough Detail

Insufficient Example:

  • "We bought a new machine to solve the problem."

Sufficient Example:

  • "The marketing department bought a new HP 5000 laser printer for $595 on June 10th for our production room. This printer will produce double-side, color copies unlike our prior printer."

Progress Reports: Introduction

What is a Progress Report?

  • Progress reports are ONE TYPE of Informative report
  • A progress report describes what has been done during a specified time on one project
    • Examples: constructing a new building, a new BTS line, or a senior project
  • It is a detailed update on a project that has already started but is not yet finished
  • Multiple progress reports are written at different stages during long-term projects
  • It covers:
    • Achievements in the current reporting period
    • Plans for the upcoming reporting period

Example Activity: Your University Education

Think about your university education as a long-term project lasting four years. Discuss with a friend:

  • When did it begin?
    • Aug 2023
  • Have you finished this project yet?

  • What have you achieved or completed so far?

  • What do you still need to accomplish in order to graduate?

  • Have there been any problems or delays?

  • Do you anticipate any problems in the future?

  • What is your expected graduation date?


Progress Report: Structure

Progress reports have the following structure (primary structure in bold, secondary structure follows):

1. Introduction

  • Heading
  • What has gone wrong
  • When the work will be finished

Note: Memo format also required if specified


Sample Progress Report

Key Elements (from Disney World Trip Example)

Memo Header:

  • To: Yearbook Staff Members
  • From: Yearbook Staff Trip Committee
  • Date: February 1, 20—
  • Subject: Progress Report 3: Planning for Trip to Disney World

Introduction Section

  • Indicates that this is the third progress report on this project
  • Notes the report topic
  • Describes the project being reported on
  • Gives the reporting period
  • States the purpose of the report

Example: "Because our yearbook staff trip to Disney World is less than two months away, we are working hard to make an enjoyable adventure possible. This report outlines the accomplishments, the work remaining, and one problem encountered during January."

Work Completed Section

สรุปสิ่งที่ทำเสร็จ ลุล่วงไปแล้ว ในช่วงเวลาของรอบการรายงานนั้น ๆ

  • Covers what has been done on the project
  • Includes the reporting period ระบุช่วงเวลาชัดเจนเด้อ

Problems/Projections Section

ต้องทำทั้งสองนะ! รายงานปัญหาที่เกิดขึ้นจริง (อะไรที่มันไม่เต็มไปตามแผนอะ) + มองภาพรวมอนาคตโครงการ ต้องระบุวันที่จะแล้วเสร็จของโครงการทั้งหมดเสมอ

  • Explains any difficulties that may affect the project
  • Gives a revised completion date if problems have caused delay

Identification Exercise

Task: The statements listed in items a–j will go into a progress report. Identify each statement as 1. Work Completed, 2. Work Scheduled, or 3. Problems/ 4. Projections.

Projection: you give a date for the predicted time (future)

Statements to Identify:

  1. We have purchased a site license from NetBright for our network.

  2. The CD-ROM, which was delivered last Friday, was damaged in shipping so that it is inoperable.

Section by section, we will write a progress report in memo format.

Section 1: Introduction

  • Subject: Report number and subject of report

Exercise:
- Write a progress report introduction (in memo format) about your company staff moving to a new office building

  • This is not just a plan like the example - you are in the middle of doing it
  • Let it be the third report
  • You can choose your own details about the company and where you are moving from and to
  • Include: report topic, outline of report

Section 2: Work Completed

Guidelines:

  • Use past tense verbs (simple past or present perfect)
  • Use subheadings only when there are 2 or more subtopics under at least one heading
  • Answer: What has been done during this reporting period?

Key Features:

  • Covers what has been done on the project
  • Includes the reporting period
  • Includes subheadings if the work accomplished falls under two or more categories

Café Banana
The campus canteen has already been constructed, and we have received our first shipment of premium banana beans. In addition, the Banana Sculpture has been installed at the center of the canteen, giving the area a vibrant and welcoming atmosphere.

Office Equipment
New desks from Herman Miller and ergonomic chairs from IKEA have been installed across all departments. We have also purchased extended warranty programs from both companies to ensure the long-term durability of our office equipment.


Section 3: Work Scheduled

Guidelines:

  • Use future tense verbs
  • This is what you need to do next in order to finish the project
  • Notice the subheadings and use of white space
  • Answer: What work still needs to be done?

Key Features:

  • Covers work yet to be done

Exercise:

  • Write a progress report work scheduled section on the same topic
  • Include: heading, what needs to be done

WORK SCHEDULED

Logistics and Transportation
We will arrange several delivery trucks to move essential equipment from the old office to the new campus.
Additionally, shuttle buses will be available for staff commuting between the two locations during the initial transition period.

Green Area Development
The company will hire a gardening service to plant 1,000 banana trees around the campus.
This initiative supports our company’s sustainability mission to become the greenest campus in the world.


Section 4: Problems/Projections

Guidelines:

  • Describe any actual or potential problems, delays, or changes to your original plan
  • Write the estimated completion date of the entire project in the final sentence
  • Answer:
    • What are the problems?
    • What is the estimated completion date?

Key Features:

  • Explains any difficulties that may affect the project
  • Gives a revised completion date if problems have caused delay

Exercise:

  • Write a progress report work problems/projections section on the same topic
  • Include: heading, what has gone wrong, when the work will be finished

Note that the completion date should be for the project not that specific problem

PROBLEMS / PROJECTIONS

The company has contacted monks from the nearby temple to perform a blessing ceremony for the grand opening of our new office. However, they informed us that they are unavailable this month. This has caused a slight delay in the official opening schedule, as the ceremony is an important part of our launch event.

We plan to contact them again early next month to confirm a suitable date. The office is expected to be ready before November 28, 2025.
